Job Description

We offer buyers an end-to-end digital car buying experience where they can buy their next car from the comfort of their living rooms. Under the hood, we build systems to manage sourcing of cars, inspection, photography, merchandising, reconditioning, financing, insurance, shipping and many more. We are seeking a highly skilled Executive Coordinator with a legal background to support our executive team. The ideal candidate will be proficient in English, and have at least 2 years of experience in a similar role.

Requirements

  • Meeting Documentation: Prepare professional and accurate minutes of meetings (MOM) for executive and board meetings, capturing all relevant details and action items.
  • Contract Review: Analyze and manage company contracts to ensure legal compliance and alignment with company policies. Provide recommendations for improvements or amendments.
  • Board Meeting Attendance: Attend board meetings with the CEO, taking detailed notes, preparing reports, and ensuring all necessary documentation is prepared and organized. Assist in follow-up actions as needed.
  • Stock Options and Shares Management: Oversee the administration of stock options and shares, including tracking, reporting, and ensuring compliance with legal and company guidelines.
  • Schedule and Travel Coordination: Manage the executive’s schedule, arrange meetings, and coordinate travel logistics, including accommodations and transportation.
  • Administrative Support: Provide high-level administrative support, including handling confidential information, preparing presentations, and coordinating communications.

Requirements:

  • Legal Background: Background in law or legal studies is preferred, providing a solid understanding of legal documentation and compliance.
  • English Proficiency: Exceptional proficiency in English, both written and spoken.
  • Experience: Minimum of 2 years of experience as an Executive Coordinator or in a similar administrative role supporting senior executives.
  • Organizational Skills: Strong organizational abilities, capable of managing multiple tasks, prioritizing effectively, and meeting deadlines.
  • Attention to Detail: High attention to detail, especially in preparing and reviewing documents and managing sensitive information.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with executives, board members, and external stakeholders.
